I was approached by a procurement team struggling with managing RFQs manually. Their workflow depended on emails, spreadsheets, and constant follow-ups, leading to scattered documents, delays, and missed opportunities. They didn’t lack tools — they lacked an efficient system. After analyzing their process, I designed and built a complete RFQ automation system using Microsoft 365. I developed an automated intake flow that captures RFQ emails, generates reference numbers, creates structured OneDrive folders, and logs data into Excel. I also implemented an approval monitoring system, supplier enquiry automation, quotation tracking, and a client offer follow-up workflow. Each flow was connected with smart logic for status tracking, routing, and error prevention. Today, the system runs seamlessly in the background, transforming their operations. RFQs are instantly organized, supplier communication is faster, and no documents are lost. Automated follow-ups have improved response rates, while manual workload has been drastically reduced. The company now saves over 150 hours monthly, operates with near-zero errors, and focuses more on strategic decisions rather than repetitive tasks.
