I immediately reviewed the setup, clarified the inbound vs outbound limitations, and correctly configured the Twilio number to work with Retell AI as an inbound calling agent. I handled the connection logic, verified call routing, and ensured the AI agent answered calls reliably without delays or failures. Once completed, the client’s AI calling agent was fully operational and able to handle inbound calls automatically, saving time and improving lead handling without manual intervention. Result: The client’s Twilio number worked seamlessly with their AI calling agent, allowing them to convert more callers, respond instantly, and stop wasting time troubleshooting technical blockers.

Reusable AI Receptionist Automation (n8n + VAPI) – Plug-and-Play System

The client needed a reusable, plug-and-play AI receptionist system that could be deployed across multiple businesses with minimal setup time. The goal was to avoid rebuilding workflows from scratch and instead use a single master system that could be quickly customized per business. I designed and built a modular AI receptionist architecture using VAPI and n8n, starting with a reusable system prompt template that supports call answering, lead collection, appointment booking, FAQs, call transfers, and structured data handoff. On the automation side, I created a master n8n workflow that receives call data via webhook, classifies call outcomes (qualified lead, booking request, missed call, urgent issue, FAQ), syncs structured data into GoHighLevel, triggers follow-up SMS/email automations, and logs calls and transcripts in a centralized database. All key business variables (name, timezone, hours, FAQs, calendar links, services) were designed to be editable in minutes. I also implemented calendar availability checks and automated booking confirmations, then delivered clear documentation so new businesses could be onboarded in under 10 minutes. Result: The client now has a scalable AI receptionist system they can reuse for any business, dramatically reducing setup time, eliminating repeated development work, and enabling fast, consistent AI phone deployments.

Retell AI × HubSpot Meetings Integration (n8n, Timezone-Aware Booking)

The client was already partway through integrating Retell AI with HubSpot Meetings using a self-hosted n8n instance. They could retrieve available meeting slots but were blocked on completing the workflow, specifically adjusting availability based on the caller’s city and region time zone. I reviewed the existing setup, finalized the integration logic, and completed the connection between Retell AI and HubSpot. I implemented timezone-aware handling so callers see accurate availability regardless of location, ensuring bookings align correctly with the business calendar. The final solution delivered a seamless AI-driven booking experience, with Retell AI collecting caller details, matching time zones correctly, and confirming appointments without manual intervention. Result: The client now has a fully working AI booking flow that eliminates scheduling errors, saves time, and allows Retell AI to book meetings reliably across different regions. The system is stable, accurate, and ready for production use.
