An educational institute wanted to automate its lead outreach process without losing the personal touch of human conversations. Their admissions team was spending significant time manually calling prospects, following up on interested students, and updating records after every conversation. The challenge was to create a scalable outreach system that could engage prospects automatically while keeping accurate records for the team. I designed and built an AI-powered outbound calling agent using n8n, Claude, and cloud telephony integrations. The agent automatically called prospective students, introduced the institute's course offerings, answered basic questions, and determined whether the prospect was interested in learning more. If a prospect expressed interest, the AI agent automatically scheduled a follow-up on the appropriate date using information stored in a connected Google Sheet. This ensured that interested leads were nurtured at the right time without requiring manual intervention from the admissions staff. To improve visibility and tracking, I also implemented an automated logging system that generated call summaries and saved them directly into Google Sheets after each conversation. This allowed the team to review interactions, monitor lead quality, and track campaign performance easily. The final solution significantly reduced manual workload, streamlined lead management, and enabled the institute to reach more prospects consistently while maintaining organized records of every interaction.

N8N SOCIAL MEDIA AUTOMATION - Fully Automated Social Media Posting System

A client managing content across multiple social media platforms was spending hours every week manually uploading and publishing posts. The repetitive process not only consumed valuable time but also increased the risk of missed posts, inconsistent publishing schedules, and human error. The goal was to create a completely automated system that could handle content distribution across all major platforms from a single workflow. I designed and built a fully automated social media posting system using n8n and cloud-based integrations. The automation checks a Google Sheet every three hours for content marked as "Ready to Post." Once detected, the workflow automatically retrieves the corresponding media assets from Google Drive and uploads them to Blotato for distribution. From there, the system simultaneously publishes content to nine different platforms, including TikTok, LinkedIn, Facebook, Instagram, X (Twitter), YouTube, Threads, Bluesky, and Pinterest, all without any manual intervention. One of the biggest challenges was ensuring reliable cross-platform posting while maintaining a centralized and easy-to-manage content workflow. By automating the entire publishing process, the client gained a single source of truth for content management while eliminating the need to post individually on each platform. The final solution saved countless hours of manual work, ensured consistent posting schedules, and enabled the client to scale their content marketing efforts efficiently. I’ve worked as a virtual assistant supporting both personal and business operations, helping clients stay organized and on top of their daily tasks. My role usually involves handling a mix of administrative and operational work so the client can focus on bigger priorities without worrying about the small details. One of my key responsibilities has been managing office supply orders. I keep track of inventory, monitor when items are running low, and place orders with approved vendors when needed. I also compare options when necessary to help ensure cost-effective purchases, and I always keep clear records of orders, invoices, and deliveries so everything is easy to track. I also handle email management by organizing inboxes, sorting messages based on urgency, responding to routine inquiries, and flagging anything important that needs attention. When needed, I follow up with vendors or contacts to make sure nothing is left pending or forgotten. In addition, I support day-to-day operations by tracking ongoing tasks, deadlines, and general activities. I usually set up simple tracking systems using Excel or Google Sheets to keep everything clear and easy to update. This includes task lists, purchase logs, expense tracking, and follow-up reminders. I also assist with scheduling, reminders, and general coordination to help keep things running smoothly. A big part of my work is making sure small but important tasks are completed on time so nothing builds up or gets missed. I like to keep communication clear and simple by providing regular updates when needed, so clients always know what has been done and what is still in progress. I work with tools like Microsoft Excel, Word, Google Sheets, Google Docs, and email platforms depending on what the client prefers. Overall, I focus on being organized, reliable, and proactive so I can take pressure off the client and help their daily operations run more smoothly.
