When Apex Nexus Consulting reached out, their frustration was clear: leads were coming in daily but slipping through the cracks before conversion. A fast-growing B2B agency running campaigns across LinkedIn, email, and paid ads, they had no reliable backend to support their growth. Pipelines were disorganized, follow-ups were inconsistent, and their team was buried in manual work. I stepped in as their Lead Generation and CRM Automation Engineer to rebuild the entire system from the ground up. The first priority was fixing their broken GoHighLevel setup. Duplicated automations, conflicting workflows, and untracked leads meant no clear journey from entry to conversion. I restructured the entire CRM architecture to give every lead a defined, automated path through each pipeline stage. Next, I built a centralized multi-channel lead capture system using n8n. This included automated LinkedIn lead scraping, instant email sequence triggers, real-time API integrations, and webhook automation for instant data routing. Every lead entered the system clean, enriched, and scored based on engagemen, ready for immediate action. To give the team both flexibility and control, I built a hybrid CRM combining Airtable and GoHighLevel. Airtable served as the central lead database with advanced filtering, segmentation, and performance dashboards. GoHighLevel handled pipeline management, automated follow-ups, and appointment scheduling with both platforms synced in real time. The turning point was implementing an AI-powered qualification layer. A ManyChat chatbot handled pre-qualifying questions, scored leads automatically, and booked appointments directly into the calendar. An AI voice agent was also integrated for inbound calls, ensuring zero missed opportunities. Finally, using Make.com and n8n, I automated lead assignment, follow-up sequences, CRM updates, and Slack notifications for high-priority leads, eliminating manual tracking entirely.
