I will set up and migrate your notes to capacities
Phantom Projects: Phantom built, Nova ready
Informazioni su questo servizio
Do you want to move your notes into Capacities but feel overwhelmed by exports, imports, and the fear of losing structure? I'll migrate your notes into Capacities and turn them into a clean, usable workspace without you spending days clicking through files.
What I can help you with:
- Exporting from tools like Notion, Obsidian, or plain folders into formats Capacities understands (Markdown, text, Word, CSV).
- Importing into Capacities and mapping your content to meaningful object types (Projects, Resources, Ideas, People, etc.) instead of a messy dump.
- Cleaning and organizing as we go: basic duplicates, better titles, simple tags, active vs archive.
- Optional: simple templates and views so you can immediately find what matters (projects, current notes, research).
You'll receive:
- A Capacities space with your notes safely imported and structured.
- A short guide (and Loom video on higher packages) explaining how your new system works.
- Clear next steps so you can grow your second brain without chaos.
This gig is **not** a generic dump everything and hope import. I treat your notes like a real knowledge base and design the structure with you.
FAQ
What information do you need from me to start?
I'll need either: (1) your Notion export file (use Notion's 'Export All Workspace' option and share the ZIP), OR (2) temporary access to your Notion workspace if you prefer not to export. I'll also send you a brief questionnaire about your desired structure in Capacities before I begin.
What formats do you accept from Notion?
Notion exports content as Markdown, HTML, or PDF. For migration purposes, I recommend the Markdown & CSV export option, as it preserves the most structure including database properties and relations. If you're unsure, just export everything and send me the ZIP or grant access—I'll sort it out.
Will my databases and relations transfer correctly?
Yes—with some translation. Notion databases become Object Types in Capacities. Each database item becomes an individual object. Relations between databases become Object Select properties (links) in Capacities. This actually makes your data more flexible and connected than in Notion.
How long does a typical migration take?
Delivery times are listed with each package: 2 days for Basic, 4 days for Standard, and 7 days for Premium. If you have complex workspaces with many relations or custom views please 'message before ordering' so I can confirm timing.
Do I need a paid Capacities account?
No—the free version works for most migrations. However, if you have many images or large files, Capacities' free storage limits may apply. I'll advise you on this after reviewing your export. Paid accounts remove these limits and unlock additional features.
What happens if something doesn't transfer perfectly?
I manually review every migration to ensure your content lands safely. For elements that don't have a direct equivalent (like Notion formulas or rollups), I'll either rebuild them using Capacities' native features or clearly explain the alternatives. You also get revisions included in your package.
Is my data safe with you?
Absolutely. I work from exported files whenever possible. If you prefer to share login credentials (temporary access only), I use a password manager so I can securely wipe your credentials from my system after logging out. I never store your data after migration is complete and revisions are done
I'm new to Capacities—will you show me how to use it?
Yes! Premium packages include a tutorial where I walk you through your new workspace, show you how to find your content, and explain how Capacities works. A tutorial can also be added to standard and basic packages as an extra.
Do you need my Notion password?
No. You may provide it if comfortable. Otherwise, the safest way for me to see your current structure is with a temporary public link. You give read only permissions and disable the link as soon as I'm done. (I can also use screenshots if preferred.) You export files yourself, send me the zip file.
